Early planning needed for Christmas event success
Community groups planning Christmas parades and festive events across the Far North are being encouraged to start planning early, with road safety, venue bookings, funding and other approvals all potentially needing to be arranged well in advance of the big day.
Far North District Council is encouraging event organisers to get in touch early if they are unsure where to begin or what requirements may apply to their event. Early engagement gives organisers more time to work through the process, address any issues and avoid unnecessary delays, additional costs or disappointment closer to Christmas.
For events affecting roads, organisers are responsible for ensuring appropriate safety measures are in place. This can include preparing a traffic management plan and working with emergency services.
Christmas parades are held in many of the Far North’s smaller towns each year, with established events using traffic management arrangements to help keep people safe. Working in conjunction with the local emergency services helps to keep the event running in a controlled and safe way.
Any road closures need to be approved through the council. The roading team can provide free advice and guidance throughout the planning process. However, organisers should be aware that if a Traffic Management Plan is required, there may be costs associated with preparing and implementing it.
Groups planning to use council parks, reserves or other spaces also need to get their bookings and approvals underway early. The cut-off for applications for the 2026 Christmas period is 30 October 2026.
Funding is another consideration for groups planning their Christmas kaupapa. Applications for Christmas events through the Community Board Fund need to be submitted by 27 October 2026 to be considered at meetings at the end of November. Applications need to be completed in full and include the total cost of the event, the amount being requested and supporting quotes.
Community boards consider applications on their merits. Groups needing help with an application can contact the Funding Advisor at funding@fndc.govt.nz or 09 401 5775.
Food requirements should also be considered early. Depending on the event and the food being provided or sold, organisers may need a food registration or one-off food stall approval. These approvals can take up to 20 working days.
Some fundraising and community events may be exempt from certain food requirements, so organisers are encouraged to talk with the council early to understand what applies to their event.
If alcohol is going to be sold or supplied, a Special Licence may also be required. Applications generally need to be lodged at least 20 working days before an event, while larger events should allow at least 40 working days for assessment and any associated approvals. Starting the conversation early gives organisers time to work through requirements, provide any additional information needed and resolve issues before the event.
